
Temperature Monitoring Pilot Checklist
Use this checklist before requesting equipment or installing sensors. The objective is to turn a broad need—such as monitoring a cold room, pharmacy refrigerator, shipment, or temperature-sensitive material—into a pilot with explicit requirements, owners, tests, and acceptance criteria. Print or save this guide and review it with operations, quality, facilities, IT, and other affected teams.
1. Define the Application and Decision
Describe the operating problem before choosing technology.
- What equipment, room, asset, container, shipment, product, or material will be monitored?
- Is the objective current visibility, alerting, history, investigation, reporting, loss reduction, or another outcome?
- Which decision should the data support, and who is authorized to make it?
- Which sites, routes, shifts, and handoffs are included or excluded?
- What current process or baseline will the pilot be compared with?
2. Document Condition Requirements
Record the authoritative requirements for every included application.
- Target temperature range and source of the requirement.
- Whether humidity or another environmental condition is required.
- Permitted exposure duration or excursion definition, if available.
- Required logging interval and acceptable data gaps.
- Applicable label, manufacturer guidance, SOP, specification, agreement, or regulation.
- Required retention period, export format, and review frequency.
3. Confirm Sensor Fit, Placement, and Calibration
Validate what is being measured and how the measurement represents the application.
- Ambient, buffered, surface, internal-product, or another measurement method.
- Required range, accuracy, resolution, and response characteristics.
- Sensor placement and mounting method in the actual environment.
- Battery life, enclosure, cleaning, ingress, and material compatibility.
- Calibration certificate, traceability, and recalibration expectation where required.
- Unique sensor, equipment, location, or asset identity.
4. Test Coverage, Connectivity, and Data Handling
The pilot should include normal operating conditions and known weak points.
- Fixed facility, cellular in-transit, or combined connectivity path.
- Coverage around doors, shelving, metal, liquids, walls, vehicles, and loading areas.
- Expected behavior during internet, power, gateway, or cellular interruption.
- Recovery and ordering of readings stored while offline.
- Sensor, battery, gateway, and communication health visibility.
- User access, integration, export, retention, and data-handling expectations.
5. Define Alerts and Response Ownership
Test the complete response workflow, not only the notification.
- Threshold, permitted delay, and sustained-excursion duration.
- Primary recipient, backup recipient, and after-hours escalation.
- Acknowledgement time and required response notes.
- Containment, hold, quarantine, inspection, or escalation steps defined by procedure.
- Treatment of door openings, defrost cycles, loading, maintenance, and other expected events.
- Process for reviewing nuisance alerts, missed events, and notification failures.
6. Set Acceptance Criteria and the Rollout Decision
Agree on measurable criteria before the pilot begins and review evidence against them at the end.
- Pilot duration includes representative operations, shifts, and expected exceptions.
- Required data completeness and communication coverage.
- Acceptable sensor agreement with the chosen reference method.
- Useful alert detection with manageable nuisance-alert volume.
- Response time, acknowledgement, and user-adoption measures.
- Documented gaps, corrective actions, commercial scope, owners, and rollout recommendation.
A useful pilot does more than collect readings: it proves sensor fit, coverage, alert ownership, data quality, and a measurable rollout path.
A pilot should end with a decision, not merely a dashboard of readings. Review the agreed criteria, unresolved gaps, user feedback, support requirements, and expected value before expanding.
